Travel Agency Rules & Regulations

 

1️⃣ Booking Policy

All bookings must be confirmed with a signed agreement or email confirmation.

A non-refundable deposit (percentage of total package price) is required to secure bookings. The exact amount will be specified per package.

Full payment is required by the specified deadline (usually 30 days before departure) unless otherwise agreed.

2️⃣ Payment Terms

Accepted payment methods: Bank transfer, credit card, or other approved methods.

All prices are quoted in the specified currency and are subject to change due to fluctuations in exchange rates, taxes, or supplier fees.

Late payments may result in cancellation of services, with applicable penalties.

3️⃣ Cancellation & Refund Policy

Cancellations must be made in writing.

Cancellation fees apply based on the timeline before departure:

30+ days: 20% of total package price

15–29 days: 50% of total package price

0–14 days: 100% (no refund)

Certain services, such as flight tickets and hotel bookings, may have stricter non-refundable policies per the suppliers.

4️⃣ Travel Documents & Responsibilities

Travelers must ensure they have valid passports, visas, and required permits for their destinations.

The agency will assist with information and documentation but holds no liability for rejected visas or denied entry.

It is the traveler's responsibility to verify travel advisories, health requirements (such as vaccinations), and local laws.

5️⃣ Changes by the Agency

The agency reserves the right to make necessary changes due to unforeseen circumstances (e.g., flight delays, natural disasters, political unrest).

If a significant change is required, travelers will be informed as soon as possible and offered alternatives or refunds where applicable.

6️⃣ Traveler Conduct

Travelers are expected to behave respectfully towards guides, staff, and fellow travelers.

The agency reserves the right to remove any traveler who disrupts the group experience or engages in unlawful activities.

7️⃣ Liability Disclaimer

The agency is an intermediary and does not own or operate airlines, hotels, or transport providers.

The agency is not liable for injury, loss, or damage due to third-party actions, delays, force majeure, or unforeseen events beyond its control.

8️⃣ Health & Safety

Travelers must disclose any medical conditions, allergies, or special needs at the time of booking.

It is strongly recommended that travelers purchase travel insurance covering health, cancellation, and personal belongings.

9️⃣ Data Privacy

Personal data will be handled in compliance with privacy regulations and only used for travel-related services.

The agency will not share personal information with third parties, except where necessary for booking services.

Travelers are encouraged to provide feedback after their trip.

Any complaints should be submitted in writing within 7 days of returning, and the agency will make reasonable efforts to resolve them.
